Booking Terms

These terms apply to every private tour booked on oquyhopass.com. Please read them with your booking confirmation, which is the document that counts if anything here differs.

1. What you are booking

A private tour for your group of 1 to 4 guests, priced for the group rather than per person. It includes a private car with driver, a licensed local guide who speaks fluent English, hotel pickup and drop-off in Sapa, the entrance tickets on the route, bottled water and any meal listed on the tour page. Personal shopping, optional tips, travel insurance and anything listed under “Not included” on the tour page are not part of the price.

The tours on this site are sample itineraries. Every tour can be tailored on request.

2. Who runs your tour

Your tour is operated with a licensed local travel partner. Your contract is with us, and we are your single point of contact before and during the day. Your guide is a licensed local who speaks fluent English.

3. Payment

There are two ways to pay: the full price online by card, at checkout or through a secure payment link sent on WhatsApp; or a 30% deposit online and the remaining 70% in cash to your guide on the day, in US dollars or Vietnamese dong. Your confirmation states the balance. A booking is confirmed once the online payment goes through.

4. Cancellation and refunds

Free cancellation up to 3 days (72 hours) before your pickup time, with a full refund of what you paid to the original payment method, normally within 5 to 10 working days.

Within 3 days of pickup, including if you do not arrive, 30% of the tour price is charged. If you paid in full, we refund 70%. If you paid the 30% deposit, the deposit covers this charge and nothing more is due.

Free rescheduling up to 3 days before pickup, subject to availability.

5. Tailored tours

Any tour can be changed on request. We send an all-inclusive quote in writing before you book, and the price may differ from the sample itinerary. On the day, your guide can change the order and pace within the time you booked.

6. Weather, closures and changes from our side

The O Quy Ho Pass is a high mountain road and the weather changes quickly.

  • Light rain: the tour runs.
  • Heavy rain that makes a forest path or a stop unsafe: your guide swaps that part for a viewpoint or the tea hills on the pass, at the same price.
  • Cloud or fog hiding a view or a sunset: not refunded, but your guide can change the order or the hour within the day to give you a better chance.
  • The Rong May glass bridge or another privately run stop closed on the day: your guide takes you somewhere of similar interest, such as Ta Phin village, at the same price, with no partial refund.
  • The authorities close the road over the pass: you choose a full refund or a free new date.

We tell you as early as we can, and we never quietly downgrade an itinerary.

7. Your part

Please be in your hotel lobby at the pickup time; your guide waits for 20 minutes before treating it as a no-show. We recommend travel insurance. Tell us in advance about dietary needs, mobility limits, a fear of heights or anything else that affects the day.

8. Children and access

Children under 5 travel free and do not count towards the group size; from 5 a child counts as one guest. Some paths have steps and uneven stone, and not every stop suits a wheelchair or a pushchair, so please ask us before booking.

9. Limit of liability

To the extent the law allows, our liability is limited to the amount you paid for the booking. Nothing here limits any right you have that cannot legally be excluded.
